Email is the channel marketers keep underestimating because it is not new. It is also the channel you own: no algorithm decides whether your message is delivered to someone who asked for it. The single highest-value thing to build is a welcome journey, the automatic sequence a new subscriber receives in their first week. Here is how to build one in Mailchimp, from list setup to copy.

Newsletters versus automations

A newsletter is sent once to everyone. An automation is triggered per person by an event, a sign-up, a purchase, a click, and runs on its own. Newsletters keep an audience warm; automations convert. The welcome journey is the first automation to build because every subscriber goes through it.

Step 1: set up the audience properly

In Mailchimp, one audience, with tags and segments doing the work:

  • Tags are labels you apply, for example the source of the sign-up: website form, event, lead magnet.
  • Segments are saved filters, for example everyone tagged "event" who opened the last email.

Connect your sign-up form so the source tag is applied automatically. If your website runs on Squarespace, the built-in Mailchimp integration passes form submissions straight into the audience with a tag.

Step 2: design the three emails

Email 1, immediately: deliver and orient. Send whatever was promised, the guide, the discount, the schedule. Then one paragraph on what they will receive from you and how often. Subject line: plain and specific.

Email 2, two days later: the story and the proof. Who you are, why you do this, and evidence it works: a result, a testimonial, a short case. No ask yet beyond a reply.

Email 3, four or five days later: one offer. The single next step you want them to take, with the reason to take it now. One button. Everything else in the email supports that button.

Keep each email short. The reader gave you an address, not an afternoon.

Step 3: build the journey in Mailchimp

Use the customer journey builder: trigger on "tag added" or "signs up to audience", then add the three emails with delays between them. Add a rule after email 3: if they clicked the button, exit the journey and tag them as interested; if not, they simply continue to your newsletter. Test the whole journey with your own address before switching it on.

Step 4: deliverability basics

  • Authenticate your sending domain in Mailchimp so mail is signed as coming from you.
  • Send from a real, monitored address, not a no-reply.
  • Never import a list that did not opt in.
  • Keep the unsubscribe link obvious. A clean list beats a big one.

Step 5: write the emails faster with AI

Use the Role, Task, Format brief with your brand context loaded. For example: "You are an email marketer for a Beirut language school. Write email 2 of a welcome journey for new newsletter subscribers: our founding story in 120 words, then one student result, then a question inviting a reply. Warm, plain, no exclamation marks. Format: subject line, preview text, body." Generate three versions, choose one, and edit it until it sounds like you.

Measuring the journey

Watch three numbers per email: open rate, click rate, and unsubscribes. Email 1 should have the highest opens; if it does not, the sign-up form promised something the email did not deliver. Email 3 should carry most of the clicks. If email 2 has a high unsubscribe rate, the story is too long or too much about you.
